Human Resource Assistant (Fresh Graduates)
Seri Kembangan (HQ)
Job Scope:
1.Recruitment:
- To assist Recruitment team such as job posting, sourcing for potential trainees/applicants from various channels (Jobstreet, Fastjobs, Telegram, Facebook groups, etc)
- To maintain candidates’ database and masterlist
- To conduct phone call interview with candidates
- To manage the hiring process including interview arrangement and conduct background check for retail store candidates
- To support Recruitment team in general administrative duties
- To assist in onboarding arrangement for new employees
- To participate in company branding activities e.g. career fairs
- Any other tasks and duties as and when assigned by superior
2. Learning & Development:
- To assist with orientation programs and ensure the smooth transition of new hires to the job and workplace.
- To assist with compiling Training Needs Analysis to determine the training need.
- To assist in administering and developing annual training plans and calendar in consultation with the L&D Manager
- To assist with coordinating & managing all on the job training.
- To support in undertaking and overseeing the development, design, and conducting in-house training courses, including developing internal training resources
- Support in organizing, coordinating, and communicating of all in-house courses.
- Processing of external training request.
- To assist with instructor/training provider performance and the effectiveness of the training programs to the participants, providing recommendations for improvements
- Staff training records/history and Individual Development Plan.
- Support Organizational Development initiatives, which include administering employee engagement surveys.
- Support implementation of Learning & Development and Organizational Development special initiatives e.g. Internship Program, succession/talent retention program, competency development program, etc.
- To maintain a systematic and completed filing system and records for audit to demonstrate actual practicing of Standard Operating Procedures (SOP), company policy, and objectives.
- To strive to achieve the KPIs set for the department.
- Assist in handling any HR projects and any other duties as assigned if necessary.
3.Employee Relations
- Conduct Disciplinary Action such as preliminary investigation, witnesses’ statement, prepare investigation report, disciplinary/grievances report and managing employee attendance, etc.
- Prepare disciplinary letters such as Warning letters, Performance Improvement Plan Letters, Charge Sheet, Suspension letters, Show Cause letters, Notice of Inquiry, and arrange panel for Domestic Inquiry sessions, etc.
- Pro-active Industrial Relations Initiatives such as preparing email awareness, infographics communication, slide presentation, briefing arrangement on industrial relations matters, etc.
- Deals with the related bodies such as Industrial Relations Department, Manpower Department, Industrial Court, Malaysia Employer Federation.
Requirements:
- Fresh graduates Diploma/Degree are encouraged to apply
- Good verbal and written communication skills (English & Bahasa Malaysia)
- Prior internship experience in Human Resources is an advantage
- Must be a team player with good interpersonal skills
- Reliable, organized and resourceful in handling tasks
- Must be able to work in HQ Seri Kembangan
