MR D.I.Y. Philippines Sustainable Procurement Policy

At MR. D.I.Y. Philippines, we embrace responsible business practices and recognize our operations’ impact that extends to our supply chain. This policy reflects our commitment to an ethical, resilient supply chain aligned with environmental, social, and governance principles. We commit to collaborating with suppliers and stakeholders, driving positive change for a brighter future.


I. Leadership and Implementation


A. Leadership commitment

Our leadership is firmly committed to guiding our organization into a future where responsible and ethical practices  are applied in supply chains. Our leaders hold the responsibility of weaving sustainability into the company culture and setting an example for our suppliers to follow.


B. Training and Education

The Company will communicate to all its employees why it has adopted this Policy and will place the policy on its website. The Company will collect internal and external feedback and periodically review the policy and update it as necessary.


C. ESG Committee

Implementation of this policy shall be organized within the company’s existing Environmental, Social, and Governance (ESG) Committee. This committee will be steered by the ESG Lead and will be informed by best practices, employee feedback, and evaluation outcomes to ensure a comprehensive and holistic approach.


II. Sustainable Procurement Practices and Initiatives


A. Supplier Commitment

1. Policy and Legal Requirements

1.1. All suppliers are required to agree to the principles in the Sustainable Procurement Policy.

1.2. The Company will regularly review its supplier arrangements and encourage suppliers to be open and honest about the challenges they face so the Company can support them in finding practical solutions. The Company is committed to working with its suppliers to implement improvement plans and help them achieve compliance. If suppliers are unable to demonstrate compliance with the Policy over a reasonable period, the Company reserves the right to terminate any supply agreement.

1.3. Suppliers must complete an annual self‐assessment and the Company may, at its discretion, require an independent audit of compliance with this policy. 

1.4. Suppliers are required to use their best efforts to provide records that will permit an independent audit if requested chains.

1.5 Suppliers under the direct control of the company or its direct manufacturers should comply with all local laws and regulations regarding labor, health, safety, and the environment in addition to this Policy. Suppliers should work with their suppliers to do the same and the company will support their efforts to do so.


2. Human Rights

2.1. The Company expects its suppliers to support and respect the protection of human rights and the environment and reserves the right to regularly ask Suppliers to confirm adherence to this Policy


3. Business Integrity 

3.1. Suppliers must engage professional business ethics in all dealings and provide transparent documentation and records. 

3.2. Bribes, favors, benefits, or other similar unlawful or improper payments, in cash or in-kind, are strictly prohibited, whether given to obtain business or otherwise. 


4. Wages and Benefits / Working Hours

4.1. Wages and benefits paid for a standard working week must meet a minimum national or industry standards, whichever is the higher. 

4.2. All workers must be provided with written and understandable information about their employment conditions with respect to wages before they enter employment.

4.3. Qualified workers must be paid for overtime. 

4.4. Record keeping on hours worked must be accurate, complete, and transparent. 


5. Freedom of Association and Right to Collective Bargaining

5.1 Suppliers must comply with all relevant labor laws and regulations, including those related to freedom of association, collective bargaining. Suppliers must respect the rights of their employees to freely associate, join, or not join any lawful association of their choice, including labor unions.


6. Elimination of Discrimination in Employment and Occupation

6.1. Personnel decisions should be based on qualifications, skills, and performance. Suppliers must ensure equal opportunities and treatment for all employees, regardless of their race, color, gender, religion, age, disability, marital status, sexual orientation, nationality, or any other characteristic protected by applicable laws and regulations. 


7. Sub‐Contracting and Supply Chain 

7.1. All sub‐contracting from the direct manufacturers must be documented and made available for review by the Company or an independent auditor if requested, including but not limited to records of subcontractors’ names and locations. 

7.2. Suppliers must have adequate policies and processes in place for properly managing subcontracting, to ensure that subcontractors operate in accordance with applicable laws, regulations, and this Policy. 

7.3 The Company requires its direct suppliers to communicate this Policy to their own suppliers within a reasonable period upon engagement with the Company and should use their best efforts to extend the principles of this Policy through their supply chain. The Company is committed to working with suppliers throughout the supply chain to implement improvement plans and help them achieve compliance.


8. Safe Working Conditions 

8.1. Plants and systems of work that are safe and without unnecessary risk to health will be provided. 

8.2. Suppliers will provide workers with a safe and clean working environment taking into consideration the prevailing knowledge of the industry and of any specific hazards. 

8.3. Workers must receive adequate, recorded training to perform their jobs in a safe manner. 


9. Forced and Child Labor 

9.1. All employment must be freely chosen by the employee and the Supplier shall ensure there is no forced, bonded, or involuntary prison labor. To that end, workers must not be required to lodge "deposits" or their identity papers with their employer and are free to leave their employer after reasonable notice.

9.2. Suppliers must not use child labor as defined by relevant national and local laws. 

9.3. Suppliers must be able to verify the age of all employees to ensure no child labor is used pursuant to local law. 


10. Environment and Environmental Sustainability

10.1. Suppliers must comply with local and national environmental laws and regulations. 

10.2. Suppliers must use reasonable endeavors to comply with international standards on environmental protection. 

10.3. Resource consumption, pollution prevention, and waste minimization: Business must be conducted in a manner that proactively embraces sustainability. Suppliers shall optimize their consumption of natural resources, including energy, water, and paper or other wood products.

10.4. Environmental impact management: Business is conducted in a manner that reduces environmental impact. As such, suppliers will measure and minimize the environmental impact of their facilities and operations, including air and greenhouse gas emissions, water (whether in a production process, for irrigation, or for other uses), contamination, and waste.

10.5. Hazardous materials and product safety: We require all suppliers to comply with rigorous product safety standards and regulations, ensuring that their products meet or exceed industry safety requirements. Risks arising from emerging materials and chemicals of concern must be identified and managed.


B. Education and Communication

The Company will require its direct suppliers to communicate this Policy to their own direct suppliers and should use best efforts to extend the principles of this Policy throughout their entire supply chain.

The Company will work to raise the supplier’s awareness of the Policy including by determining the key factors for which compliance will decrease the probability of the supplier’s violation of material ESG factors or local laws. 



III. Monitoring and Reporting


A.  Feedback and Suggestions

We encourage open communication and collaboration with internal and external stakeholders to identify and implement appropriate solutions and accommodations to achieve sustainability for all. Feedback and suggestions, both positive and negative, will be actively sought, valued, and considered in shaping our policies and initiatives.


B. Grievance Mechanism

We maintain an accessible and confidential grievance mechanism to address concerns related to sustainable procurement. Employees, customers, suppliers, and community members can voice their grievances without fear of reprisal.

Stakeholder feedback will be actively sought, valued, and considered in shaping our policies and initiatives.


C. Compliance and Accountability

The Company will regularly review its supplier arrangements. Suppliers must complete an annual self‐assessment and the Company may, at its discretion, require an independent audit of compliance with this policy. 

The Company is committed to working with its suppliers to implement improvement plans and help them achieve compliance. The company will encourage suppliers to be open and honest about the challenges they face so the Company can support them in finding practical solutions. 

If a supplier is unable to demonstrate a commitment to comply with this Policy, the Company will seek corrective action. If suppliers are unable to demonstrate compliance with the Policy over a reasonable period, the Company reserves the right to terminate all its existing contracts/agreements without prejudice to its obligations and debts. 

Suppliers are required to use their best efforts to provide records that will permit an independent audit if requested.



IV. Continuous Improvement


We understand that the journey towards promoting sustainability in the supply chain is a continuous endeavor. This policy will be periodically reviewed to ensure its effectiveness, relevance, and alignment with evolving best practices and legal requirements. Evaluation from monitoring and feedback from employees and stakeholders will be considered during the review process.
